Responsibilities

Administrative support activities will entail the personnel requirements at multiple locations throughout the country.  Those locations include: Washington, DC/Tyson’s Corner, VA/Atlanta, GA/ Charlotte, NC/ Blaine (Birch Bay), WA/ Baltimore, MD/ Dulles, VA/ Pittsburgh, PA/ Philadelphia, PA/ Buffalo-Fort Erie, NY/ Buf-Niagara Falls-Wh, NY/ Chicago, IL/ Saint Louis, MO/ Minneapolis AP, MN/  Cleveland, OH/ Detroit EC/ Houston, TX/ Dallas-Fort Worth, TX/ Los Angeles, CA/ LA Long Beach, CA/ Miami, FL/ Fort Lauderdale, FL/ Manhattan, NY/ Bowling, NY/ Newark, NJ/ San Francisco, CA/ Seattle , WA/ Seattle, WA.  Locations for English/Spanish speakers only: San Luis, AZ/ Nogales, AZ/ Ysleta EC, El Paso (TX)/ Albuquerque, NM/ Brownsville, TX/ Laredo, TX/ Hidalgo, TX/ Phoenix, AZ.  Locations for English/French speakers only: Williston, VT/ Champlain, NY/ Detroit, MI.

 

  • Greet and check-in applicants.
  • Answer general inquiries regarding programs.
  • Process applicants.
  • Provide performance reports.
  • Collect fees from the public.
  • Schedule interview appointments on a scheduling system and operate and maintain adequate schedules and accommodate walk-ins.
  • Conduct additional statistical analysis upon request of local management.
  • Research applicant denials for all programs to determine status of active members and notify management staff when it appears a revocation in one or more programs may have been warranted, but was not completed.
  • Research pending applications with older request dates and reconciling/troubleshooting system issues, when needed, by bringing to the attention of management.
  • Retrieve e-mail correspondence sent to the fast processing center mailbox, reply with answers, and forward to management for follow up.
  • Scan documents as needed.
  • Perform other clerical and administrative duties assigned.
  • Assistance with managing filing systems

Qualifications

  • Applicants should have a working knowledge of office automation software and be familiar with the use of online databases.
  • Must be bi-lingual (English/French or English/Spanish) in certain states (See work locations list above).
  • Applicants must have strong communication skills
  • Minimum education – high school graduate
  • Must have two years of experience in an office setting with substantial customer interface.
  • Job related undergraduate study at an accredited technical, business or trade school or college may substitute for on the job experience using the formula of one academic year of study for 12 months of on the job experience. Related undergraduate studies include information systems, office automation software, word processing, database training, and similar course work.
